Frequently Asked Questions

 

General information

  • Registration for the International Conference of Physics Students (ICPS) 2015 is handled by the Croatian Physical Society and the Organising Committee of the ICPS 2015.
  • The conference is open to members of IAPS only. You can become a member by joining an NC or LC, if there is one active in your area (List of IAPS members). If there isn't, you can join as an individual member. (Check here, see www.iaps.info for more information, or contact us at This email address is being protected from spambots.   • You will be able to update your registration at any time until 15 July 2015; you can update all of the information except your name, gender and e-mail address. If required, contact us at This email address is being protected from spambots. You need JavaScript enabled to view it., and we will change any data for you.
  • Your registration for the conference does not immediately guarantee the acceptance of your application (check your user account, the default status ["being processed"] will be changed to "accepted" or "declined" at a predefined time [see timeline below]).
  • The Organizing Committee will review your application at a predefined time, and let you know their decision by e-mail and through your user account (your status will change to "accepted" or "declined").
  • Registration fee can be paid only by bank transfer. Payment information will be sent to participants upon acceptance of their application. For specific dates and fees, see below.
  • ICPS attendees can contribute to the scientific portion of the programme. In the registration form, you will be asked whether you wish to hold a lecture, present a poster, and/or give a talk at the TeSlam.
  • Number of attendees for each excursion is limited. Three identical drop-down menus are given for excursion selection. Please select one excursion in each menu, according to your preference. The organizing committee will then assign an excursion to everyone, taking into account everyone's wishes.

Scientific contribution

  • Due to obvious limitations, it may happen that not all lectures or posters get accepted. The Organizing Committee has a final word in this matter.
  • Participants wishing to present a lecture or poster at the conference will be required to submit an abstract. You will be able to do that in the registration form. Please use LaTeX syntax for any mathematical notation.
  • It is your duty to bring your posters already printed.
  • Please classify your contribution as either basic or advanced. That will help us organize the contributions better.
  • Abstract submission deadline - 30 June

Conference registration timeline and fees:

  • 10 February 2015 - First round of registrations. Conference fee: 190€
  • 25 February 2015 - End of first round. Accepted applicants will receive payment info within one week. Payment deadline: 25 March 2015. New applications will not be processed before the second round begins.
  • 01 April 2015 - Second round of registration begins. Conference fee: 190€
  • 15 April 2015 - End of second round. Accepted applicants will receive payment info within one week. Payment deadline: 15 May 2015.
  • 01 July 2015 - End of special member registration. Late registration process begins. Conference fee: 230€. Applicants accepted on a first come-first serve basis, until all free places are filled.

Our bank is a member of SEPA, but has only been for a relatively short time. If you are receiving messages about us not being a member of SEPA, that probably means that your bank has not updated their automatic payment systems. Unfortunately, this means that you will need to go to the bank office and do the transaction personally.

Cancellation policy

  • Cancellation deadline is 15 July 2015, which means that we will be unable to process refunds for cancellations after this date.
  • Applicants who cancel their application before 01 June 2015 will receive a full refund minus 10€ administrative charge.
  • Applicants who cancel their application before 15 July 2015 will receive a 50% refund.
  • No refund can be made to those notifying cancellation after 15 July 2015.

Registration fee covers:

  • accommodation at the ICPS accommodation venue for the duration of the conference
  • breakfast, lunch and dinner each day of the conference
  • social programme, city tour and some excursions
  • attendance to scientific sessions and conference material

Other important notes

  • Visitors from many countries do not require a visa to enter Croatia, however, everyone should check with their respective travel agencies. Participants who do require a visa should allow plenty of time for their application to be processed. If needed, the Organizing Committee can issue an invitation letter.
  • Registration fee can be paid only by bank transfer.
  • All payments must be made in euros (except for participants from Croatia).
  • You should not pay the registration fee only until after your registration has been confirmed.
  • After your payment has been received, we will update your registration info (which will be visible in your account).
  • Please note that your registration will not be finally confirmed until the payment is received.
  • By participating in the conference you agree to be filmed, photographed, and otherwise recorded during the conference and hereby expressly grant the organizing committee and the IAPS the right, privilege and license to use your picture, movie or any other forms of media publication.
  • You acknowledge and agree that the organizing committee and the host of the conference have no responsibility whatsoever for injuries, losses, or damages of any kind that result from your participation in the conference.
